Final Production Sprint: The Compass Spring Issue

Subject: URGENT: Spring Issue Production Handoffs, Naming Rules & Final Deadlines
To: The Compass Editorial Board & Section Leads From: Maya Lin, Editor-in-Chief (maya.lin@oakridge-ms.org) Date: Thursday, May 2, 2024, 4:15 PM
Hey everyone,
First off, incredible work this week. Between the track invitational recap, the robotics championship feature, and the photo essay on the community garden, the spring issue of The Compass is shaping up to be our strongest run of the year. Mr. Henderson approved our 24-page flat plan during eighth period today, which means the printer reservation at Valley Offset is officially locked in for next Tuesday morning.
Because we are printing on real cardstock with a four-day turnaround before Memorial Day weekend, our schedule is extremely tight. If one section slips, the entire master layout stalls. Please read through this entire email carefully so we don't end up scrambling or overwriting each other's work over the weekend.
1. Unified File Naming Protocol (Strict Enforcement)
Last month, three different people uploaded files named final_draft.docx and layout_v2.pdf into the shared cloud drive. We lost almost an hour trying to figure out which version had Maya's copy edits versus Liam's caption adjustments. That cannot happen this cycle.
From this point forward, every single file saved in the Spring2024_Master directory must follow this exact convention:
[Section]_[ArticleSlug]_[Status]_[DateMMDD].[ext]
- flat plan:
- A visual diagram or chart that shows the page-by-page layout of an entire publication.
- convention:
- An agreed-upon rule, standard, or method of doing things.
- sequential:
- Following a particular order or logical sequence of steps.
- hierarchy:
- A system that organizes items or information into ranked levels of importance.
- widows:
- Very short lines or single words appearing isolated at the top or bottom of a printed column.
- orphans:
- Single opening lines of paragraphs that appear separated at the very bottom of a page or column.
- cold read:
- A fresh proofreading of text by someone reading it as if for the first time, looking for missed errors.
- turnaround:
- The total amount of time required to finish a process or manufacture and deliver a product.
